As standard, the cost of your trip will include accommodation, meals, transportation, activities, your Gapforce Leader and local support staff. Excluded in the cost is travel to and from the destination, travel insurance, visas and vaccinations. We can help with booking flights but we’ll quote this separately as they can only be booked 11 months in advance and prices can fluctuate.
The standard and style of accommodation can vary from location to location – and can be tailored to your requirements and budget. Typically you can expect a mixture of hotels, hostels and camping with students staying in multi-bed rooms and teachers in twin rooms. All our accommodation is vetted to check it’s suitable for school groups.
Safety is our number one priority. And while we can’t completely remove risk from overseas travel, we do everything we can to reduce it – compared to independent travel in the same location. Our school trips have been externally assessed by YET as being compliant with BS8848, the British Industry Standard for expeditions outside the UK. So you can enjoy the total peace of mind that comes with knowing we’re following the right processes and procedures to manage risk and keep your group safe. We know you’re busy, so we’re here to take as much of the administrative burden off you as possible. We’ll need your help with things such as sharing information with students and parents and collecting forms etc. But we’ll be there to guide you through the process, providing regular trip planning updates and supporting you with any queries until departure, making the process as smooth and simple as possible.
We provide financial protection in accordance with The Package Travel and Package Tours Regulations. Through our membership of Protected Trust Services, everyone booking with us is fully protected for their initial deposit and subsequent balance. We also provide comprehensive liability insurance up to £10 million through Taskers Insurance. Please get in touch if you want to know more.

If there’s an emergency at home and you need to urgently contact your child, please get in touch with their school first – who’ll be able to reach them. For your peace of mind, a method of 2-way communication will always be available between the Gapforce UK office and our in-country team.

Every trip is accompanied by an experienced Expedition Leader who, at various times, will be supported by local staff and guides. Teachers from your school will also accompany the group to supervise and provide pastoral care to students.
Please let your school know as soon as possible. If you haven’t paid your final balance (usually around 12-16 weeks before the trip departs) – and if a replacement can be found – there shouldn’t be any financial penalty. However, if a replacement can’t be found before final payment is due, you may risk losing your deposit. After this time, the closer to the departure date you cancel, the higher the financial penalties. To find out more, please talk to your school or check the terms and conditions on your booking form. You can also check with your school if their group insurance policy will cover a claim for non-refundable costs (if your child is withdrawing for an insurable reason e.g. a medical reason).
All of our leaders have at least a 16hr Activity First Aid qualification and will be on hand to provide basic first aid. If further medical attention is needed, we’ll head straight to the nearest medical facility to get the best possible care – as detailed in our Casualty Evacuation Plan – and your school will keep you updated throughout.
Through our membership of Protected Trust Services (PTS) – membership number is 5482 – we offer full financial protection for all money paid to us through Package Travel Regulations compliance and the PTS trust account. In the unlikely event that we become insolvent, any money you’ve paid towards an unused trip will be returned to you from the trust. Please note that businesses must have extensive experience in travel and undergo stringent financial and risk checks to qualify as a member of PTS.
Tasting the local cuisine is as much a part of your experience as the activities you do during the day. So most of the food will be tasty dishes that originate from the country you’re visiting (although there will occasionally be opportunities for western or international food too). A choice of dish may not be possible for every meal so, before travelling, please let us know if you have any dietary requirements.
It’s very likely you’ll be able to get WIFI at some points on your trip, but connections can often be very slow and unreliable. So why not take the opportunity to log off and focus on new places, people and experiences along the way.
You’ll need a reasonable level of fitness for our trips. In most cases, if you can walk for 4-5 hours a day on uneven terrain, and carry your full backpack unaided for 100m, you should be fine. If your itinerary includes any activities that require a higher level of fitness, we’ll let you know.
We’ll give you a packing list a few weeks before you go, so you’ll know what to bring. It’s important you include everything on the list as some things will have been added for your safety.
All meals, activities and water will be included but you may want to bring some extra spending money for snacks, drinks and souvenirs – and to tip your local guides and drivers. Your trip brochure and pre-departure information will give you an idea of how much to bring.
This is totally normal when you’re out of your comfort zone – and that’s okay. Try to stay busy; talk to your friends, teachers or leader; and focus on the new experiences around you. Keep a journal, call home if it helps, but also give yourself a chance to enjoy where you are. This trip is a chance to discover new things, and grow as a person – and it’ll get easier every day.
